These Terms & Conditions govern all bookings and stays at Griffon Forest (“the Park”, “we”, “us”, “our”). By making a booking, the person making the booking  (“Lead Guest”) confirms that they have read, understood, and accepted these Terms & Conditions on behalf of all members of their party staying and including visitors.
The Sandburn Hall Estate, (“the Estate”) includes Sandburn Hall, the golf course, lakes, open fields and farmland around the Griffon Forest Lodge Park.

  1. General Booking Conditions

1.1 The booking contract is formed once your booking has been accepted by us, a payment has been successfully received, and we have issued the booking confirmation.

1.2 This Agreement is binding upon the Lead Guest and all members of their party, including children, dogs and day visitors.

1.3 These Terms & Conditions, together with your booking confirmation and any relevant policies referred to within them, form the entire agreement between you and Griffon Forest.

1.4 The Lead Guest is responsible for ensuring all members of their party comply with these Terms & Conditions and all Park rules, notices, instructions and Lodge Safety information provided.

1.5 This Agreement remains in force from booking until all members of the party have departed the Park.

1.6 We reserve the right, at our sole discretion, to refuse any booking or request additional information regarding members of the party.

1.7 This Agreement is governed by the laws of England, and subject to the jurisdiction of the English courts.

  1. Booking Requirements

2.1 Griffon Forest reserves the right to refuse or cancel any booking prior to the commencement of the holiday, where it is reasonably necessary to do so.

2.2 The Lead Guest must provide the names of all guests staying at the Park upon request.

2.3 We request you notify us when majority of the party are aged between 16 and 21 years, as additional requirements may apply.

2.4 You may not resell, advertise, transfer, sublet, or use your booking for commercial gain, events, parties, or business purposes without our written consent.

2.5 We request that the composition of your party remains unchanged throughout your stay unless agreed in advance.

2.6 Maximum occupancy must not be exceeded.

2.7 Day visitors require prior permission and must park cars in designated spaces at the lodge.

2.8 Check-in and check-out times are confirmed on booking.

2.9 Access on to the park and to the lodge will not be available until the check in time.

  1. Booking Payments

3.1 Prices are confirmed at the time of booking and include VAT at the applicable rate.

3.2 We reserve the right to adjust prices any time prior to check in, where an obvious pricing error has been made, or VAT, taxes, or government levies change.

3.3 Bookings made within six (6) weeks of arrival require full payment at the time of booking.

3.4 Bookings made more than six (6) weeks in advance require a non-refundable deposit of £100 per lodge (or as stated at booking).

3.5 The remaining balance must be paid no later than six (6) weeks before arrival.

3.6 Failure to pay by the due date may result in cancellation and loss of monies paid.

3.7 Offers and promotions cannot be applied retrospectively.

3.8 A security deposit payment of £100 is required prior to check in and refundable after checking out, once the lodge has been checked.

  1. Cancellations & Amendments

4.1 If you wish to cancel your holiday, please notify Griffon Forest as soon as possible.

4.2 Cancellation charges are as follows:

  • More than six (6) weeks before arrival: deposit retained
  • Between six (6) and two (2) weeks: fifty percent (50%) of total booking amount retained
  • Within two (2) weeks before arrival: full booking amount (100%) retained
  • Refunds will be returned using the original payment method wherever possible.

4.4 Bookings may not be transferred, resold, or assigned without written consent.

4.5 No compensation or refunds are given for factors outside of Griffon Forest’s control, such as weather conditions, loss of utilities, travel disruptions or early departures and non-arrival.

4.6 Griffon Forest reserves the right to cancel or terminate a booking where:

  • these Terms & Conditions are breached,
  • payment is not received,
  • false or misleading information has been provided,
  • or guest behaviour is likely to adversely affect other guests, staff, or the operation of the park.

4.7 If you wish to move your booking date, the following charges apply:

  • More than six (6) weeks before arrival: £30 admin charge
  • Between six (6) and two (2) weeks: £130 admin charge
  • Within two (2) weeks before arrival: full booking amount (100%) charged and retained.

4.8 We strongly recommend all Guests purchase holiday insurance independently.

  1. Health, Accessibility & Safety

5.1 Guests must inform Griffon Forest prior to arrival if any member of the party has or has just had an infectious or contagious illness.

5.2 We reserve the right to refuse or terminate a stay where reasonably necessary to protect guests, staff, or public health.

5.3 Please inform us in advance if you have any significant mobility requirements or accessibility needs, so that we can ensure your lodge booking is suitable for your requirements.

5.4 No medical facilities are available at Griffon Forest or on the Estate.

5.5 A defibrillator is located on the wall on the side of the reception, through the barrier.

5.6 Parents, guardians, and supervising adults remain responsible for the safety, supervision, and conduct of children, and vulnerable persons, at all times.

5.7 Woodland terrain and lodge layouts may not be suitable for all mobility needs. Guests are encouraged to discuss individual requirements with us before booking.

5.8 Guests must comply with all fire and safety notices, emergency procedures, signage, and safety information provided.

5.9 Open flames are strictly prohibited at Griffon Forest. Items such as fire pits, campfires, Chinese lanterns, fireworks or any similar open flame heat source, are not to be used either outside the lodge, in any woodland or across any part of the Estate.

5.10 Tampering with fire alarms, smoke detectors, carbon monoxide detectors, or emergency equipment is strictly prohibited and may result in immediate removal from site.

  1. Guest Conduct

6.1 Guests must behave responsibly and respectfully at all times.

6.2 Quiet hours apply from 10:00 PM to 8:00 AM. During these times all the Guest Party must respect the tranquillity of the park and keep the noise to a minimum.

6.3 Noise, nuisance, antisocial behaviour, illegal activity, or conduct affecting others’ enjoyment is strictly prohibited.

6.4 Griffon Forest reserves the right to require guests to leave immediately where behaviour is considered unacceptable. No refund or compensation will be payable in these circumstances

6.5 Visiting guests are to be kept to a minimum.  Large group gatherings at one lodge are not permitted.

6.6 All lodges and indoor facilities are strictly non-smoking and non-vaping.

6.7 Evidence of smoking or vaping indoors may result in additional cleaning, deodorising, maintenance, or loss-of-income charges.

6.8 The Lead Guest is responsible for all damage, loss, additional cleaning, compensation, or costs arising from any party member actions, or those of their visitors.

6.9 Firearms, shotguns, air weapons, fireworks, explosives, illegal substances, and offensive weapons are prohibited at Griffon Forest.

  1. Safeguarding & Eligibility to Stay

7.1 We reserve the right to refuse, cancel, or immediately terminate any booking without refund where we reasonably believe that any guest or visitor:

  • Is subject to notification requirements under the Sexual Offences Act 2003; and/or
  • Appears on any relevant safeguarding or barred list; and/or
  • May pose a risk to the safety, wellbeing, comfort, or enjoyment of guests, visitors, staff, or the wider Park community.

7.2 We may request identification or additional information where reasonably necessary for safeguarding, security, or operational purposes.

7.3 Failure to provide requested information, or providing false or misleading information, may result in refusal of entry or immediate termination without compensation or refund.

  1. Accommodation & Maintenance

8.1 All guests including day visitors must take reasonable care of lodge, furnishings, fixtures, appliances and contents.

8.2 The Lodge and outdoor decking must be left in a clean and tidy condition on departure to prevent additional charges.

8.3 The Lead Guest is responsible for all damage, breakages, or excessive cleaning when required.   In this instance, the security deposit will automatically be retained, and any additional costs will be charged, where necessary.

8.4 We reserve the right to enter lodges, including the private deck at reasonable times for inspection, maintenance, repairs, emergencies, safety checks or servicing.

8.5 Griffon Forest continually improves and maintains its accommodation, facilities and Estate.

8.6 Certain facilities or areas may occasionally be unavailable due to maintenance, refurbishment, weather conditions, or operational requirements.

8.7 We will make reasonable efforts to minimise disruption and noise during maintenance works, wherever possible.

  1. Vehicles, EV Charging & Cycling

9.1 All vehicles are parked entirely at the owner’s risk. Griffon Forest accepts no responsibility for loss or damage to vehicles or their contents.

9.2 Vehicles must only be parked in designated parking spaces.

9.3 Charging electric vehicles from lodge sockets, extension leads, or non-designated electrical supplies is strictly prohibited.

9.4 Electric vehicles may only be charged using the designated charging points, located at reception.

9.5 Cyclists must keep to prepared roads and tracks and must always give way to pedestrians.

9.6 E-bikes and E-scooters are not permitted for use throughout the Estate and must not be charged inside lodges, unless specifically authorised.

  1. Photography, Filming, Drones & Social Media

10.1 Photography, video recording and social media content may be created by guests, visitors, event attendees, wedding parties, suppliers and other third parties whilst at Griffon Forest or on the Sandburn Hall Estate.

10.2 Griffon Forest has no control over and accepts no responsibility or liability for any photographs, video recordings, live streams, social media posts, online content or other publications created, shared or distributed by third parties, whether during or after a guest’s stay or visit.

10.3 Guests acknowledge that they may appear incidentally or unintentionally in photographs, video recordings, live streams or other content captured by third parties whilst on the Estate.

10.4 We shall not be liable for the creation, publication, sharing, distribution or subsequent use of such content on social media platforms, websites, news media or any other public or private platform.

10.5 From time to time we may commission or undertake photography, filming or promotional content at Griffon Forest or on the Estate. Guests, where necessary, will be made aware of any commercial activity instructed by Griffon Forest during the checked in period.

10.6 Any personal data collected in connection with such photography or filming will be processed in accordance with our Privacy Policy.

10.7 Guests who do not wish to appear in Sandburn Hall commissioned photography or filming should notify a member of staff at the earliest opportunity and we will use reasonable endeavours to accommodate such requests where reasonably practicable.

10.8 The flying of drones anywhere at Griffon Forest or on the Estate is prohibited.

10.9 Commercial photography, filming, influencer activity, promotional content creation, at Griffon Forest by guests for business use, requires prior consent.

  1. Wi-Fi & Technology

11.1 Standard Wi‑Fi and internet services are provided subject to availability and fair usage.

11.2 Due to the woodland location and external service providers, uninterrupted internet access, speed, signal strength, or compatibility cannot be guaranteed.

11.3 Guests must not use internet services for unlawful, offensive, abusive, or commercial purposes.

11.4 A premium speed Wi-Fi is available; vouchers are purchased from reception.

  1. Personal Property & Liability

12.1 Guests are responsible for their own belongings and valuables throughout their stay.

12.2 Griffon Forest shall not be liable for:

  • loss or theft of personal property, vehicle damage, indirect or consequential loss,
  • utility interruptions or temporary facility closures,
  • or circumstances outside our reasonable control.

12.3 Lost guest property is kept at Griffon Forest for a maximum of 28 days.

12.4 Lost property is not automatically returned to Guests.  Contact reception to organise and discuss the returns process.  A postage and packaging charge will be applied.

12.5 Nothing within these Terms & Conditions excludes or limits liability for personal injury caused by negligence, fraud, or any liability which cannot legally be excluded under English Law.

12.6 Subject to Clause 12.5, our total liability arising from your stay shall not exceed the total amount paid for your booking.

  1. Force Majeure

13.1 Griffon Forest shall not be liable for any failure or delay in performing its obligations where such failure or delay arises from circumstances beyond our reasonable control.

13.2 Such circumstances include but are not limited to:

  • severe weather, flooding and storm damage,
  • fire and/ or utility failures,
  • epidemics or pandemics, government restrictions,
  • natural disasters, terrorism, or other exceptional events

13.2  In these circumstances we reserve the right to amend, relocate, postpone, or cancel bookings, where reasonably necessary, and no refunds or compensation will be issued.

13.3 In this instance liability is limited to the cost of your booking and no refunds or compensation will be issued.

  1. Complaints

14.1 If you experience a problem during your stay, we request that you notify us prior to departure, to allow us the opportunity to resolve the issue.

14.2 The Griffon Forest management are available during reception opening hours.  Out of hours call the emergency telephone number for any accidents or serious maintenance and noise complaints.

14.3 Any unresolved complaint should be submitted in writing by email within 28 days of departure.

14.4 We will respond to any written complaint within 7 working days.

  1. Privacy & Data Protection

15.1 Griffon Forest processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

15.2 Personal information may be used for:

  • reservation management and guest communications,
  • legal compliance and security, fraud prevention,
  • and service improvement.

15.3 CCTV is in operation in certain public and external areas for safety, crime prevention, and security purposes.

  1. General Provisions

16.1 If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

16.2 Griffon Forest reserves the right to amend these Terms & Conditions, where reasonably necessary.

16.3 The version applicable to your booking will be the version in force at the time your reservation is confirmed.
